Top 5 Tools to Help Recruiters Become More Productive

No matter what your job is, occasionally there will be distractions or unproductive moments. These aren’t usually a big deal, you can grab your lunch or take a quick break then get back on track, but sometimes these moments are caused by something more serious than a lack of caffeine. Not using the right tools can make your staff extremely unproductive, even if you don’t know it is.

It’s not the same type of unproductivity, but addressing it is much more important. Using the wrong tools means a task that could take 20 minutes to complete will take all day. This is especially problematic if you work in a high-pressure environment and have to juggle lots of major projects, like recruiters do. The consequences of not using software to help improve productivity can be dramatic: recruiters can miss multiple deadlines, have great candidates drop out, or not be able to complete a hiring project at all.

Luckily, there’s lots of software out there designed to replace outdated systems which don’t allow your team to be as productive as possible. Here are five different tools available to help your recruitment team become more productive:

1. Applicant Tracking System

An applicant tracking system is probably the best tool your recruiters can use that will immediately increase the number of hires your company makes and how quickly your staff completes hiring projects. It will help your staff modernize their entire process, making it easier to evaluate candidates, keep the collected data organized, and make a hiring decision. By having all the information about every candidate complied in an easily searchable database, recruitment software lets your staff quickly find the best candidates and move them ahead in the process. These benefits make it much easier for your team to hire great people quickly.

2. A Video Hiring System

Interviews are the best way to get to know your candidates and see if they have the skills required to do the job position you’re hiring for. The problem though, especially with early-stage interviews, is that they take up a lot of time and most of the people you talk to won’t end up being hired because they don’t have a required skill. Fixing this problem is where a video interview system is helpful. Video interviewing lets the recruiter perform early-stage interviews from their desk. In the case of pre-recorded interviews, the recruiter doesn’t even need to speak with the candidate. All they have to do is evaluate answers that will tell them if this person has the skills for the job or not. Live interviewing, on the other hand, is an awesome replacement for the first in-person interview because it allows you to meet every candidate face-to-face without being in the same room. It’s also more convenient, so there will be fewer scheduling conflicts or unexpected cancelations.

3. Communication Technology

It’s important for recruiters to keep in contact with each other so everyone knows the status of each hiring project and who is working on it at that moment. Email is a great tool for contacting coworkers and assigning tasks, but it’s easy for information to get lost or accidentally deleted when you only use email for internal communications. Especially since recruiters do a lot of travelling and have to balance multiple projects, having a communication method outside of email for updates or to ask a quick question will allow you to keep the communication lines open between employees. It will also make sure everyone is up to date on what their coworkers are doing to move their entire team forward.

4. Social Media Management Tools

Savvy recruiters have already started using social media to their advantage. It’s the best way to reach potential job applicants and the opportunities to try new candidate marketing campaigns are endless. That said, keeping every social media outlet your recruitment team is on and all the posts that come through is a full-time job in itself. For busy recruiters, it’s a good idea to invest in some social media management tools. Software designed to organize all your social media accounts in one place will make it easy to check on the status of each, if you got any messages, and which posts are performing well with your audience. It would also be a good idea to check with your marketing team to see if they have any specific tools they already use.

5. Mobile Recruiting System

Mobile recruiting software is a fairly new technology recruiters are just starting to benefit from. Its main purpose is to make it more convenient for applicants to complete your recruitment process, but it also increases productivity levels because it allows recruiters to do their job from any location. If you have some free time on the bus and get a notification about an applicant completing a skills test, for example, they can evaluate the test and make a decision about if the candidate has the skills to do the job right then and there. Being able to quickly do this will also help increase the number of candidates a recruiter can evaluate at one time, completing the hiring project faster than expected.
